Guests

Invitations & Access

There are different access modes for your event:

  • Via link — Anyone with the link can view your event and RSVP. This is the default for most events.
  • Closed / Invite only — Only guests you explicitly invite by email can RSVP.
  • PIN protection — In addition to either mode, you can enable a 4-digit PIN. Guests must enter it before seeing the event.

For closed events, send invitations through the guest list. Each guest receives a personalized link that bypasses PIN and invitation restrictions.

You can import an existing attendee list as a CSV file with first name, last name, and email address. Imported guests remain drafts and receive no invitation during import. You can then send selected invitations immediately or schedule them for a later time. A scheduled send can be changed or canceled afterwards.

If you need a guest's personal link again later, the guest list has a “Share invitation” action. The share dialog pre-fills a personalized message with the link for WhatsApp, Telegram and email. For safety a fresh link is created and the old one stops working; you are told before that happens.

RSVPs

Guests open your event link and enter their name and email address. Then they choose:

  • Accept — The guest will attend.
  • Decline — The guest cannot make it.
  • Maybe — The guest is unsure (not available for paid events).

Guests do not need an account. A browser cookie remembers their response for 90 days, so they can change their answer at any time. Logged-in users are automatically recognized.

Guests who want one can create an account right while responding: via Google, Apple or Facebook, or with email and password. The account is created together with the response, no separate registration. “Continue without an account” always remains available; the email is then only used for this event.

You can optionally set an RSVP deadline — after which no new responses are accepted.

Anyone who has not said yes yet sees only the venue name and the city. The exact address appears once they say yes.

In the guest list, guests only see who said yes or maybe. Everything is counted in people, companions and children included. Declines, invitations still waiting for an answer, the answer date, children's ages and who is driving are visible only to you and your co-hosts. If you switch on “Guests also see who has not responded yet” in the event settings, guests who have answered themselves also see the invitees who have not answered. For groups you set this as a default for new dates.

As the organizer, you can see the full guest list with filter options under “Manage Guests.” You can download it as an Excel file with one row per person, either only the people who said yes or everyone. In the event settings you can hide the guest list from guests, then they see neither who is invited nor who accepted nor how many are coming, you and your co-hosts keep seeing it. This also applies in groups and series: members see no attendee count for a session with a hidden guest list there either, only group admins, the session's own host, and its co-hosts still see it.

Companions

When the “Companions” module is enabled, guests choose during the RSVP flow whether they are coming alone or bringing someone. Each companion is captured separately:

  • Partner: First name with optional last name and email; depending on the event, driver status and dietary notes
  • Child: First name and optional age; depending on the event, a parent phone number, pickup time, and dietary notes
  • Friend / Other: First name with optional last name and email; depending on the event, driver status and dietary notes

Up to 10 companions per guest.

As the host: You can add your own companions right in the “Who's coming” step of the create wizard. For group events you can pick a member of the group from a search and link them, otherwise enter name and age manually. Linked people receive an email with a decline link in case they don't actually want to attend. You also appear in your own event's guest list, so you can adjust your companions there later just like for other guests.

Allergies & Dietary Preferences

When enabled, the RSVP flow guides guests through selectable options one step at a time. They choose a dietary preference first, then the allergy and intolerance options appear. Selecting “No restrictions” continues directly to the next step; individual allergies can be combined. Responses are visible in the guest list.

Your own questions for guests

Under “Manage” > “Guests” > “Your own questions for guests” you add up to five questions, for example birth name, favourite drink or clothing size. Each question is free text or a choice (2 to 10 options) and can be required. “Also ask companions” puts it to every companion as well. “Answers visible to guests” shows the answers to other guests in the guest list, never those of anonymous guests; you can only switch it on while there are no answers yet. Use the arrows to change the order. You can also add questions in the last step, “Final details”, when creating an event. In the group settings they live in the “Default for new dates” card and then apply to new dates of the group only. Duplicating an event carries the questions over.

Guests answer when they say yes or maybe, in the step “A few questions”, which comes after the contact details and names you as the host, and change their answers via “Change response”. Answers are deleted when a guest declines. Per question you see “N of M answered”; “Ask for missing answers” emails guests without an answer a personal link (once a day). Answers appear in the guest management and as extra columns in the Excel export. Deleting a question deletes all its answers.
